Fergus suggests having the fresher swim test just before the first river trip, not on ‘Give It A Go’ day, going to ask Paul McPate about it

Sponsor pub:
- Social suggested again as an option – positives = cheap drink (social card and app) and good seating areas with the large benches and tables, negatives = band too noise on thurs night and consistency of what they offer the club, i.e. Nachos! - Ask about reserving the quieter sofas nearer ketchup on a thurs, 10-11 - Globe also suggested as possible option – concerns with seating , expensive drink, and suspicious pee smell detected by katie - Possibility of two sponsor pubs? Pubs may have issue with this? Mon – social and thurs - globe - Katie and tom to arrange meetings with possible sponsor pubs - Possible option for sponsor pub advertising (extra moneys for club) – e.g. pub logo stickers on polo boats and paddles and other equipment or club merchandise
Fundraiser idea:
- Sizer’s “master plan” to have a fundraiser out with the union, e.g. have a ceilidh in a hired church or local hall (6-11pm) not near UUUUUNAAAAAYYY - promotion of the event focused on both locals (poster and flyers in the area) and students (shuttle buses to venue), hopefully this will mean more people, so more moneys - issue with bringing in own drink to sell – license needed, possibility to bring in an outside licensed bar? – won’t make money from the drink sales if outside bar used - needs to be booked early - fundraiser normally organised in November – bad time of year as it clashes with exams and deadlines, possible option to have the event in Oct or Feb (yet to be decided)
Check if Union is still stopping themed fundraiser thurs nights next year.
Club Gear (next year’s matric money):
- Sizer suggested polo paddle to be fixed (new blade) or to buy a second hand polo paddle - tom suggested new seals on existing club cags, group decided against replacing the seals as it would not improve the old cags enough compared to the cost - suggested buying new cags for the club, concerns with good quality cags being too expensive and it may discourage members buying their own gear, cheaper cags may be bought to top up club supply - club boats and paddle supply fine - Katie suggested DUCC labels to be added onto polo kit, esp decks, to stop confusion with kit at matches - Club name and number to be add onto all club equipment, paddles went missing last year
Warm up trip – dates still to be decided, needs to be discussed with Fergus and Dexter
General DUCC club t-shirts to be made this year, colours and design still needs to be discussed, Susie suggests possible vest top option for girls. Tom requests high quality t-shirts, no fruit of the loam shizz.
Extended pool sessions next year to after Easter holidays
Coaching:
- Coaching plan to made up of fundamental skills - Katie suggested a check list for fresher’s of skills to learn before fresher’s weekend away - Pair up less experienced couches with experienced, to improve coaching throughout the entire club - Make a list of coaches, and the particular skills they are best to teach
River trips – tailed off towards the end of the year, also many feel rivers not challenging enough. Greater focus next year on less experienced club members leading on river trips and improving safety skills on river. Jordan suggested possibly more experienced member teaching others to lead on river trips on a one-to-one basis.
SSS Slalom:
- 15th Nov, 1-9pm (Sizer to book pool) - roughly same format as last year - introduce £2 administration fee – hopefully prevent people cancelling last minute - possible sponsor suggestions: Naedanger, Go Kayaking Scotland, Scottish Kayak and Paddles, Social, local companies?
Polo:
- no specific girls team, now to be renamed as C team - polo trials to be held next year for teams and team captains - greater focus next year on better communication with team members and encouraging the improvement of new players
Sports fayre:
- Fri 12th sept (same day as Wet west) - Not a major issue with the two events clashing, club member’s going to Wet west will just leave after the fayre (3ish) - Volunteers needed - Flyers, pictures, videos, training times, a couples of boats and paddles, etc
RAD weekend – same as last year
Club mark application:
- An award system – awarded bronze, silver, and gold - Jordan and Sizer organising the certificates and forms needed, fingers crossed we get a gold award = more benefits
Chloe suggested collecting Next of Kin info – issues with data protection – Katie suggested a possible buddy system. Jordan later confirmed that the university has Next of Kin details and the SU has access to them.
Club photos – made £80 profit from this year’s – cheaper to print than previously thought

Committee minutes – Mon 8th September 2014 5.00pm

Mini buses: -unfortunately there was an accident with one of the SU busses in the Tesco’s car park in Perth, were the bus hit another car, as a result Fergus (the driver) can no longer drive the SU busses, the accident has also highlight other issues between the SU and the club, therefore a meeting will be set up with the full committee and the SU to discuss the accident and other ongoing issues with club -important to note that the SU buses are to be used for attending sporting events only, i.e. to be taken to the sporting event and back, not other locations e.g. Tesco, people flats, etc -also a reminder that the folder for the busses must be filled out for every bus trip, and be kept in the bus for insurance purposes
Wet West: ( Fri 12th- 14th Sept) The mini bus accident has affected the transport arrangements of wet west as Fergus can no longer driver, however the bus is still available so alternative drivers are trying to be found (Will if mini bus license revalidated)
Sponsor pub: -social has been refurbished over the summer, and has been renamed South Tay Superstore, opening Fri 12th sept -Before the start of the summer hols Katie and tom had a meeting with the head of social to discuss social sponsoring the team again which they agreed on, although the refurbishment was mentioned in the meeting the scale of it was not made clear, since communication has been very limited (e.g. finding out South Tay Super Store’s opening date on face book page not through management) -Katie and tom will arrange another meeting with the head of South Tay Superstore, to hopefully finalise the sponsor deal (drink deals, loyalty cards, etc) and option of pub advertising (e.g. pub logo stickers on club equipment/ club merchandise)
Gaudie night: Tuesday 7th Oct – start 8.30 – venue unknown – tom screen printing t-shirts at art school
Fundraisers: -DUCC club t-shirt to be made this year to generate a club income - e.g. for a £10 t-shirt sold the club would make £4 - Susie to make example sketches of t-shirt designs, colours and t-shirt styles (e.g. polo’s, vest, etc.) to be discussed further -2 bake sales was suggested, one in each semester, preferably near exam time to catch the hordes of stressed out hungry students, Katie to email the library to check availability of bake sale spaces -The unions Nut and Bolt Party (Thurs 9th Oct) – Canoe fundraiser along with other societies (Pencil Pals, Chid, Psychology and Women’s Hockey), Should be a great night and well attended, the night will be marketed as a union themed night as to avoid the stigma around club fundraisers -the club has been given a week, from Fri 19th – Fri 26th sept, for PR around the town and campus, and the West Park Halls for flyering from now until the event, for PR in the union the club must email DUSA beforehand, tickets are to be sold to friends however the majority of money made will come from people using the canoe discount flyers (marked with a blue dot sticker)
SSS Slalom: - 15th Nov – 1.30-9.30 Olympia, Sizer booked pool, Sizer and Fergus to meet with Olympia rep to finalise detail for the event (e.g. increasing pool length) -roughly same format as last year -a good amount of prizes has already been sourced for the competition, a sponsor drink had not been found yet, (possible options suggested = Brew Dog, Edem Brewery, Dragon Soup)
Polo: -Robbie clark agreed to be this year’s polo coach -no specific girls team, now to be renamed as C team -polo trials to be held next year for teams and team captains -polo training aimed to start the week after the fresher’s weekend away
Club Treasury : Hannah to set up a meeting with the bank to change the details of club bank account, to the new relevant committee members
Store : The store had a bit of a spring clean so just a reminder to keep it clean and tidy, there is also a bucket for broken kit so obviously only put broken kit in this bucket, also a shine new water tap is at the entrance of the store for rinsing equipment
Sports fayre: -Fri 12th sept 11.00-4.00, meet 10.30 at the store to help with boats, club stall will be in the outside marquee area -club advertising on the day = Sizer and Fergus’s iMac’s and Jordon laptop will play slide shows, videos, and pictures of the club, lots of flyer handing out (printed at the library), and Susie will make a club banner -needed for the day = an extension cord (only 1 power outlet available), lots of sweets and cakes (Chloe making banana loafs)

Committee minutes – Mon 23rd September 2014 5.00pm

ClubMark accreditation scheme:
-SU scheme designed to reward clubs for safe and good practice – three levels: Bronze, Silver and Gold -Canoe club aiming for gold! -Sizer filled out all the paper work for the club -in order for the club to be awarded with a gold, the club needs to work on a community outreach project, Fergus suggested a volunteer river clean up day in the 2nd semester, arrangements to be made nearer hand the time
Pool sessions:
-life guards on Monday night (22nd sept) raised concern over black foam bits found along the pool edge from the pool boats, in the future members should keep an eye out for this in pool sessions. Duncan will also put new duct tape on the boats to stop this happening. -life guards also commented on = no jeans to be worn at the pool side, also tops/t-shirts to be worn at all times during canoe pool sessions. -Next Thursday (2nd Oct) = polo “Give it a Go” session, first hour of the session will be trails for existing members of the club, the second hour will be a trial/ give it a go for new fresher’s. The teams will then be chosen from both existing members and fresher’s, who want to get involved with polo this year.
Matriculation: Chloe/Fergus need to check the date for matriculation week, then send out an email to both fresher’s and existing members, giving info on matriculation and matriculation times for canoe club, as well as a reminder for members to buy a pool membership for the ISE.
Gaudie night: (Tuesday 7th Oct) -Starting times – committee decided to meet at the union for 8 -both Racheal (The Hub) and Kirsten offered their flats for the Gaudie night venue -Tom and Katie proposed £7.50 per person for Gaudie night, it was decided by the committee to raise this to £8.00 per person to be spent on = £1.50 for t-shirt (bought from Primark) and £6.50 for alcohol and mixers -on the night the club will be split into teams (colour themed), with groups of 3 existing members plus fresher’s (numbers of fresher’s per team yet to be decided). T-shirts provided on the night will be in the colour of the individuals team, Susie suggested also using face paints in the teams colour.
Nut & Bolt Party: -ticket sales slow, but to be expected, need to remind members to sell ticket to friends/flatmates from the club -need to encourage all members to help with PR -the club needs to supply the prizes for the night – suggested tickets for union nights or VIP passes -need to check if St Andrews canoe club are coming to the event -pre’s arranged to be held at South Tay Super Store for club members and friends
Key fobs:Katie to pick up Liquid fobs this week and Underground fobs will hopefully be give out next Monday night (29th Sept).
Fundraiser ideas: -Fergus suggested bag packing in a supermarket, Jordon to look into this and get in touch with potential supermarket options -DUCC club t-shirt (£10 each), Susie currently working on t-shirt design with the aim to have the t-shirt ready by November. Susie suggested having the colour of the t-shirt optional, Jordon to check the availability of this and the pricing of the t-shirts themselves. Point raised in meeting that money for the t-shirts should be collected before the t-shirts are ordered to avoid making a loss.
Sponsor pub: South Tay Super Store -Tom and Katie had a meeting with Jackson (the manager of South Tay Super Store) to finalise the sponsor deal and talk about other opportunities -Jackson offered the club the opportunity to have a canoe club promotion night once a month, where the club would reserve 10% of profits made on the night. The nights offered were Mondays, Tuesdays or Wednesdays, the committee agreed that Tuesdays would be the best night to have it on as it coincides with Skint in the union. The club needs to think of a theme/gimmick for the night, at the meeting the committee had a little brainstorm, ideas included = themed 90’s music, shop till you drop/ shot till you drop, shopping spree, etc… Any more ideas to be given to Tom or Katie as soon as possible. -Need to pick a club discount drink, has to be a spirt and mixer. Committee decided on vodka and mixer, Katie and Tom will ask for the possibility of having more than one mixer choice.
Quiz night: -to be held at South Tay Super Store (Laundry Mat), room hold 40-50 people -possible date = Tues 4th November and Wed 12th November -suggested that this year we limit the questions and rounds to 5 rounds with 10 questions in each, possible subject rounds suggested includes: general knowledge, sport, music, entertainment, academic, Dundee/ Scotland, ect -suggested prizes = email paint ball and laser tag companies, ask South Tay Super Store if they can donate a prize e.g. a bottle

Free Fall:
• Wed 22nd of October was the first canoe club promotion night at South Tay Super store • the club does not now the profit made yet • an extra effort must be made in future canoe club promotion nights to bring in non-canoe club members (e.g. flat mates and friends) to make the night more successful
Quiz night:
• Wed 12th November, to be held at South Tay Super Store • limit the rounds to 6 = e.g. sports, general knowledge, picture, music, entertainment • Questions to be finalised by the 7th November • prizes – ask the globe
SU Dinner: no one from the club is attending this years, tickets are already sold out
Competitions
SSS Slalom:

• An agreement has been signed by the club to work under dragon soups code of practise. The club agreed to provide photos for dragons soups Facebook page and to add their logo to the events page, and committee members cover photo. However in keeping with dragon soups code of practise no photos of anyone under the age of 25 drinking dragon soup should be taken. • Gates – unable to borrow, so will be building own • Rope – rope has been delayed, Elliot to emailed about it by the end of the week • Olympia pool hire = £550 • Elliot suggested a bake sale on the day as a fundraiser, club to look into this however Fergus thinks that the club will not be allowed because of the cafe at the Olympia swimming pool. • Spread sheet for the day to be organised by Elliot and Fergus • Committee member will need to volunteer on the day to help out • Accommodation needs to be organised for clubs staying in Dundee on Saturday night, a post on the forum will be put up soon to look for club member who can host • Katie and Tom to email union about getting entry bands for the union on the Saturday night, approx. 100 bands needed
Polo training:
• Starts from Thursday 30th October, Freshers welcome to attend however polo teams take preference and are not guaranteed boat time • 2 spaces still to fill in B team and 4 spaces still to fill in C team • First tournament at the start of December, fees need to be paid by then • Team fees = Div 2 - £235 + £40 (x2) Div 3 - £285 + £40 • Each member of the polo team must have SCA membership (£35) and have contributed to the club fees (£15 each member), team captains responsibility to make sure every team member has paid.
Finance
• Club bank account access – waiting for Craig’s signature, Hannah will organise a meet up to get Craig’s signature. Hopefully have access to the account for the following Friday (7th November) • The club has a total = £700 • RAD money – Roddy and Lauren still need to pay for the weekend • Week end away – money is still owed to cover petrol costs, also money left over from t-shirts
Fundraisers
Bag packing fundraiser – only space available for Tesco was November 2015, Jordon booked this for a fundraiser for next year. Jordon to get in contact with other supermarkets (e.g. Asda and Morrison’s) to check availability for this year.
Another bake sale fundraiser was proposed for February
Gear and Safety
Duncan has completed the inventory, so the club has insurance
Duncan has completed the SU Safety guideline and risk assessment for the club
Buses – SU may start giving out banns to clubs if buses are not used appropriately so important to remind everyone to make sure the sheet is filled in with every trip taken, and if there is an incident/accident to inform the SU straight away. Also make sure buses are left tidy.
Lost paddles – Paddles were lost on the weekend away, Duncan to look into insurance.
Coaching
Volunteer audit (list of club volunteers) – Fergus to complete one for the SU
4 star course – not popular this year, need to encourage club member to sign up for the 4 star course (6-8 people hopefully) to increase the number of club members that are recognised river leaders. Hopefully organise this for spring 2015. Thomas to talk to Paul McPate about SU funding, more likely to get SU funding if the club is awarded with a Gold level Clubmark.
Level 1 couching to be organised for 2nd semester – also not popular, however need to encourage club members to sign up, so the club has more recognised river safety club member. Thomas to again talk to Paul McPate about SU funding.
ClubMark
• a community outreach project needs to be organised, river/ beach clean-up proposed • Chloe to look into local river/ beach clean-up, that the club can take part in • hopefully to be organised for this semester or have signed up for one in the second semester, as soon as possible , so that the club can apply for the gold clubmark award

SCA requested changes, which have been made and sent back by Fergus, to be voted in at the general meeting. Will be sent to sports union after voted in at general meeting along with general meeting minutes.
General meeting (3rd Dec)
• AGM to be held in DUSA, 5.30-7.00, committee members to arrive early (5.15) to help set up room • Each committee member to make a short speech summing up what happened this semester and what’s coming up next semester • Need to vote in the new freshers rep – Katie has a liquid committee fob for the new freshers rep • Need to announce SSS Polo (8th February) and get people enthusiastic about it

Big Canoe Committee welcome Davie Gow to his first committee meeting as the Freshers Rep. Davie Gow’s mission is to get this year’s freshers more involved with club social events. Outreach project Chloe has not been able to get in contact with Doug McLaren, a member of Friends of the Earth Tayside local group, since last emailing contact was at the end of semester one. Several emails and text messages have been sent to Doug since with no response. Chloe will continue trying to get back in contact with Doug, to organise club beach clean-up in February.
Competitions
SSS Polo: Fri 6 – Sat 7 February • 22 people sign up for the weekend • 4 spaces left for the weekend, 2 spaces left to be filled for the ladies team • Elliot to collect money for polo • Check club drivers availability for the weekend • SSS Polo t-shirt designs – Susie provided several designs for the committee to choose from, and decided on a blue t-shirt (royal/navy) and white writing. Jordon raised the issue that the fine details on the t-shirt design many not be sharp due to screen printing methods • Jordon to order SSS Polo t-shirts (Elliot to send Jordon number and sizes of t-shirts to order)
SSS Polo outdoor training sessions: • Busses are booked for Wed 28th Jan and Wed 4th Feb for outdoor polo training at a local reservoir.

Calendar: • Not enough ordered so far, more enthusiasm needed to increase sales and funds for the club • Calendar now to be set as an academic 2015/16 calendar, and to be ordered as singles not in batches to reduce making a loss • More club photos are needed • Jordon to order sample calendar
Rash vests: • First order of rash vests have arrived • Jordon to hand out and collect money - £18 normal rash and £20 thermal rash

Jordon raised point that there are multiple boats that are not in use but taking up room in the store – suggested selling to help club funds and to make room for new boats. Duncan to make a list of boats to sell that are no longer in regular use by the club. Make a point to keep polo paddle and wet suit section of the store tidy.
Social
Refreshers fair: Sat 24th January • A table was reserved for the club last semester by Katie • Not a popular idea, and the committee decided not to take part in the Refreshers fair
Burns night: the weekend of 24th - 25th – possible Susie housing club burns night meal
Pub Grub Night: Tues 17th February • Tom to organise a Drouthys Pub Dinner • The committee to spread the word to get a good team turn out
Proposed curry night idea by Jordon for this semester, possibly at Jordon’s flat. To be organised at a later date.
Union Fundraiser: social secretaries (Katie and Tom) no long wish to take part in union fundraiser night, the committee agreed and Katie is to email the union. Lads and Ladies night to be organised for mid-March.
Paddies Day Pub crawl – Tues 17th March • Katie and Tom has not heard from ski/ bike club representative about annual joint paddies pub crawl. • If contact is not made soon – possibility of canoe club organising their own paddies day event.
Coaching
4 star course: • not popular last semester, the cost (coaches, transport, etc.) is a major factor which is discouraging club members from taking part • 4 star award needs to be a key focus of attention this semester, encourage club members to put through the course • 4 people are required to run the course • Thomas needs to know if club members are interested
Thomas hopes that if the club is awarded a gold clubmark award, more funding will be available to run more courses, reducing the financial burden for club members and increasing the popularity of the 4 star course in particular.
Pool coaching: Tom suggested a pool coaching training night (2hour session), where club members are trained on how to coach new members and teach basic kayaking skills. The committee agreed that this was a good idea and should be arranged.

Committee minutes – Mon 16th February 2015 10pm Attending: Davie Gow, Elliot, Fergus, Tom, Hannah, Duncan, Jordan, Susie, Katie, Chloe Apologies: Thomas
DUCC club t-shirt: • Susie produced the designs for the new club logo and asked for any suggestions on club mottos (for example the date the club was established) to be added or any changes the committee felt should be made to the overall design. • The committee loved Susie’s new club logo design, and agreed that there should be no additional writing/ club mottos added. • The t-shirt will be sold at £10 each, which would make the club approx. £2-3 profit. • It was agreed by the committee that the t-shirt should be available in a range of colours that will be priced and decided on by Jordan. • T-shirts will be ordered through Jordan, with the money for the t-shirts collected before the t-shirts are ordered to avoid making a loss. • Susie suggested that if the t-shirt are popular to use the logo on other merchandise e.g. Beanie hats
AGM: • Proposed date for AGM 2014/15 was Fri 20th March. • Katie felt there was too many Canoe club social events that week (Paddle, Pedal, Pow 17th March and Lads & Laddies night 21st March) to generate enough members required for the AGM. • Tues 24th March was suggested by Fergus and agreed by the Committee, Fergus to check the availability of rooms for that date.
DUCC takes on William's game of Gnar pub crawl!! (Sat 28th February): • An event has been set up on Facebook with all the information and times for the night. • The pub crawl is a competition based on a points system – e.g. wearing a team colour will gain points. • Tom and Katie will decide on the rules and point system, and will be in charge of determining the winning team. • Club members taking part will have to be arranged in teams of 4-5 and inform either Katie or Tom of their team before the event.
Band night (Thurs 12th of March): • A band night is to be organised at sponsor pub South Tay Superstore as a club fundraiser by Katie. • Tickets to be priced at £2/3 • 3 performances on the night: Something, Someone (Rachel’s band), Katie Lynch, and the third act is still to be found.
Gear and Safety: • Following the last committee meeting Duncan has made a list of boats to sell that are no longer in regular use by the club. Duncan is to email this list to Fergus to review. • First on Duncan’s list to sell - Kendal • Slalom boat is broken, option to be fixed? Duncan to speak to Ali Moon about options. • Buying new polo paddles – two options one at £100 and a better pair at £170 – Duncan to ask Robbie Clark (polo coach) for opinion. • 3 club polo decks are missing – still trying to track them down • The club has 3 polo decks owned by another university/universities that competed in SSS Glasgow
