This year's AGM will be held at 5pm in DUSA Meeting Room 2 on Wednesday 25th March. It is a very important event for the clubs so we would really appreciate it if you could attend.
The Agenda is available here so have a read. As you may notice, there are 5 awards available and you should nominate one person for each - send these nominations to Chloe as soon as possible.
Anyone looking to run for a position next year, here is all the info you need:
You must be nominated and seconded by two separate people to be eligable to stand for a position. Following this you must then make a speech addressing why you want to take the position and why you think you would be the right person for the job. You will then be asked to leave the room while there is a vote.
The roles will be elected as per the order below:
The Captain shall be required:-
To be responsible for the safety of the club.
To take responsibility for the day to day running of the Club.
To represent the Clubs interests both with and out with the University.
To hold regular committee meetings through out the year.
To review the clubs development plans annually.
The Vice Captain shall be required to:-
To be able to step in for the Captain in their absence
To act as an interim Captain in the event of the Captain stepping down until an EGM has been called.
To assist the Captain in the running of the club.
To be in charge of all club merchandising, ensuring that it meets sports union regulations
To promote the club through all media outlets, providing write-ups and competition results when necessary.
Maintain and update the club’s web site as and when it is needed.
Control the club forum ensuring all offensive material shall be removed
To attend all meetings both committee and general.
The Competition Secretary shall be required to:-
Sit on the selection committee for the Clubs representation in inter-university competition.
Organise and publicise a list of fixtures
Arrange all entry forms and assist, if necessary, in sending entry money for all competitions.
Arrange training for all disciplines which the Club is competing in.
Arrange regular friendlies with local clubs and universities.
Organise SSS Slalom
To attend all meetings both committee and general.
The treasurer shall be required to:-
Keep detailed accounts of all monetary transactions on behalf of the Club.
Produce expenditure estimates for the forth coming year which are to be incorporated in the development plans.
Draw up a balance sheet for the current year and submit the balance sheet to the Sports Union at the end of the academic year.
Prepare a Treasurer’s report subject to paragraph 6.
To attend all meetings both committee and general.
The Gear & Safety Officer shall be required to;-
Supply an inventory of the Club’s equipment to the Sports Union.
To maintain and amend the inventory as necessary.
To repair equipment.
To take responsibility for equipment logged in and out.
Take responsibility for reporting lost/missing kit to relevant authorities.
To attend all meetings both committee and general.
The two Social Secretary’s shall be required to:-
The 2 social secretaries will preferably be 1 male and 1 female.
Must take a lead in organising socials and fundraisers such as Gaudie Night Pub Quiz etc
Take a big role in organising the ceilidh.
Be responsible for sourcing bands from Liquid or The Union
Be responsible for arranging or finding about socials after events e.g. BUCS SSS etc.
Plan activities for weekend trips e.g. Weekend Away
Organise a sponsor Pub for the Year and keep good relations with them.
To attend all meetings both committee and general
To have good relations with members from other clubs so joint events are a possibility
To be responsible for the behaviour of the club as a whole not individuals
The secretary shall be required to:-
Supply the names and phone numbers and email addresses of the Committee to the Sports union office within a week of their election.
Keep records of all members’ details including next of kin details in case of emergencies.
To inform to club of important information from the Committee and the Sports Union
To attend all meetings both committee and general.
Keep a record of the minutes from all the committee and General Meetings.
Forward emails addressed to the canoe club to the relevant people.
